Trade Compliance Administrator

Working as a key individual within the Supply Chain Department, the Trade Compliance Administrator is required to keep up to date with Trade Compliance legislation (including but not limited to Incoterms, tariff codes, MSS data and Brexit ) to ensure that the team are fully compliant.

What you’ll be doing:


  • Managing and reviewing our Brexit strategy to ensure that we are compliant for the transition
  • Keep up to date with Trade Compliance legislation including checking that we are using the correct tariff codes and incoterms according to current export legislation
  • Processing and coding of the freight invoices to ensure that the correct budget codes are being assigned to each invoice
  • To oversee the completion of any customs audits that are carried out by HMRC. This will involve collating all the documentation together, cross referencing to ensure they are correct and assisting the customers officer during their audit
  • Completing any applications for pre-shipment inspections on the online portal for any orders where these are required and booking the inspectors
  • Completing the marine cargo insurance forms to ensure that we have the right level of cover as a business
  • Reviewing the MSS data for both imports and exports to ensure we are compliant and up to date in case of a customs audit. This will involve checking tariff codes and values for all shipments sent and received by Hochiki Europe. You will be required to spot check exports on our ERP system to ensure that all relevant documentation has been uploaded for audit purposes
  • Raising clearance instructions once an import is in transit. This involves working out the value against each tariff code on the complete shipment to ensure we pay the correct amount of import duty on each shipment.
  • Booking imports in with either the goods in department on site or with our third-party warehouse
  • Obtaining the customs entry and ensuring that all details are correct against the clearance instructions
  • Obtaining the deferment statement for all imports and checking that all details are correct and logged
  • Completing any applications for pre-shipment inspections on the online portal for any orders where these are required and booking the inspectors. It can also involve assisting or accompanying the inspector whilst they are on site
  • Reviewing contracts and rebate agreements for Hochiki Europe, Hochiki Middle East and Hochiki India’s customers including reviewing the customer incoterms and payment terms

Person Specification


We are looking for individuals who are highly motivated and have a passion to contribute to the success of Hochiki. In addition to this, you will possess the following:



  • Essential: GCSE in English and Mathematics



  • Essential: Training will be provided as required
  • Desirable: Previous experience in a similar role within a Supply Chain department, Dangerous goods by Air, Road, and Sea



  • Essential: Trade Compliance knowledge

Desirable: Export knowledge


Technical skills

  • Essential: Computer Literate with knowledge of Windows operating system
  • Desirable: SAP
